Bell’s Communications Department is spread out in three cities, namely Montréal, Ottawa and Toronto. The company’s association with GTI dates back to the 1990s when Montréal-based department personnel were seeking out a solution which would allow them to combine Treasury and Management Accounting requirements.

Then as now, the selected management solutions developer was required to comply with a particularly demanding set of criteria:

Bell Communications Department / GTI Canada partnership

Leading FileMaker expert in Canada, GTI has become the IT resource for Communications Department managers at Bell. Accomplishments to date, including requisite adaptation and maintenance work, comprise as follows:

Budget monitoring system for English- and French-language communications

Designed to complement corporate systems in place, the budget monitoring system was developed to reflect the standards and procedures specific to the Department’s business relations with suppliers. The system enables Department managers to view updated budget figures at any time and to modify budget items, cost centres and projects without GTI intervention.

 

System functionalities include as follows

  • Detailed annual budget breakdown by month, project, cost centre and accounting item
  • Processing adapted to two main supplier transaction types:
    • General budgets/detailed cost estimates/revisions/amounts committed vs amounts projected/invoicing
    • Contracts/amendments/renewal dates/invoicing
  • Reconciliation and authorization of supplier invoices based on the status of work in progress
  • Revisions of budget breakdowns as the year progresses (year-end forecasts)
  • Contract expiry alerts
  • Creation and monitoring of supplier records detailing speciality, contract terms and conditions, investments for current and previous years, and notes regarding business relationship (e.g. level of satisfaction, speciality, special projects, etc.)
  • Access management based on manager profiles
  • Report generation (PDF and Excel formats, including calculation formulas).
  • Accessible via the Web, the system permits managers to update budget data as required.

 

Communications Group events calendar system

Accessible via the corporate Intranet, the system allows users to view all activities in progress and to input information relating to events for which they are responsible.

For each of the events categories, the system features as follows

  • Screen displaying information specific to a given event category (e.g. organizations involved in and sponsors of community events, invited guests, keynote speakers, press conference venues, members of the executive, special sponsor events, etc.)

  • To do" list

  • Daily, weekly and general calendars indicating tasks, responsible individuals and event cutoff dates, replete with colour legend for ease of reference.

Donations and contributions system

This system enables managers to view, at any time, the status of corporate commitments relating to community initiatives sponsored by Bell anywhere in Canada.

For each file, the system enables users to

  • Compile information specific to a given commitment/event: sponsors, organization contact information, duration of commitment, amount
  • Develop and maintain a history of corporate involvement over time.
