A new management system
A dear client at GTI since 1993, Bell is one of Canada's largest communications companies, wholly owned by BCE Inc.
BELL'S CHALLENGE
According to Elena Gattuso, Senior Manager, Finance, Corporate Services and Branding Have quick and easy access to the management information we need, when we need it. This challenge becomes evident when we consider the fact that our organizational environment is constantly evolving. As a result, in addition to budget monitoring and control, and detailed project management, three key programs have been added: the Bell Employee Giving Program, the company’s own donation and contributions program, and the compiling of activations and claims for dealers within five business units. To consolidate information, we turned to a tool called FileMaker and to our work with the GTI team, with whom we’ve been collaborating since 1993. Because of this long-term association, GTI knows our processes, has mastered our terminology, and understands how to work with our IT teams as well as those of our partner organizations across Canada. GTI’S CONTRIBUTION Design, implant and manage daily their solutions and the infrastructure that supports them. In order to reach our business objectives, GTI developed the following solutions:- Expense monitoring and budget control: FileMaker solution combined with Web interfaces, allows an easy management of budgets and investments related to communications and human resources projects. Allows the submission of advertising agency estimates for approval by Bell management.
- Donation and contribution requests management: Web interfaces to enter and approve contribution requests, receive annual monitoring reports from organizations, and translate requests, and a FileMaker interface to generate reports and related documents (letters, payment requests, etc.). Also features functions to transfer to a central calendar or to the budget monitoring solution.
- Volunteer program management: FileMaker solution developed to collect and approve requests submitted online by Bell employees (volunteer activities, sports activities, and donations related to a death).
- Sponsorship request management: Web interface developed to enter and approve sponsorship requests, with sub-modules for the entry of event-related information (guest lists, executive attendance, number of tables, number of quartets, etc.). Also features functions to transfer to a central calendar or to the budget monitoring solution.
- Central calendar for communication events: FileMaker solution with Web interface for the entry and display of events, with monthly and weekly views, featuring sub-modules for different business units.
- Management of promotional images: Web solution for the entry and approval of promotional material, with a module for managing attachments and generating notifications for applicants and approvers.
- Collective advertising program: solution for the compilation of activations and the entry and monitoring of claims from Bell dealers; the solution allows for data compilation sourced from six business units, and for generating multiple reports, with a Web interface allowing dealers to consult monthly statements.
